Job Summary
This part time position is customer service based, with a focus on the public at the front desk, in-person, on the phone and via social media.
This position requires daily interaction with children, so it's important that the selected candidate can engage with young people in a positive way.
The right candidate is a positive professional that learns quickly, has attention to detail and helps the front office run smoothly. You will assist with the daily administrative operations of the school - ranging from reception duty, office tidiness and scheduling of appointments.
Duties & Responsibilities
- Prepare the front office upon arrival before afternoon classes and activities start.
- Greet customers upon opening and assure that all necessary forms have been completed and customer supplies given as needed.
- Schedule and coordinate appointments for new and established customers.
- Enter Contracts, Camps and all necessary paperwork in database.
- Check all daily emails and respond to emails as needed.
- Coordinate events and write Project Outlines
- Apply reasoning skills to maximize the daily schedule to fill the day and assist with room clean up as needed to allow for the seamless flow of appointments.
- Understand and be able to explain the office's relationship/contract status for the customer's selected program. Communication of financial obligations needs to be very clear in a positive manner.
- With training, provide new customers with private introductory evaluations so they can start their programs.
- Handle client confidentiality.
- Maintain a safe, clean, and organized school.
- Deliver school products or supplies locally as needed.
- Conduct guest tours.
- Complete online sales transactions and member sales.
- Work on front desk projects to streamline workload for more efficiency as we expand.
- Update company website with new events and programs.
- Work with print marketing partners to create posters and displays for events and programs as needed.
- Meet with the owner on a regular basis to plan, strategize and execute marketing for each quarter.
Requirements
- Minimum 1 year customer service experience in an office environment with Microsoft Office applications.
- Strong written and verbal communication skills.
- Proficiency with Google, WordPress, RIPL, ZenPlanner a plus.
- Capability of working with children a plus.
- Must have reliable transportation and active driver’s license.
- Must be able to lift at least 20lbs.
- Condition of Employment: Live scan background check.
- Active CPR/AED Certified.
Job Type: Part-time
Pay: $20 - $22 an hour DOE. Annual Merit Bonus and Project Based Bonuses
Schedule
- 5 hours Daily Shift
- Monday through Thursday 2:00pm to 7:00pm, Saturday 8:30am to 12:30pm
- Occasional Saturdays and Sundays for events and special projects as planned and needed.
- MAC experience preferred.
